Order of precedence. In the event of a conflict between the text of
this document and the references cited herein (except for related associated
detail specifications, specification sheets, or MS standards), the text of this
document takes precedence.
Nothing in this document, however, supersedes
applicable laws and regulations unless a specific exemption has been obtained.
3.
REQUIREMENTS
3.1
General. The complete requirements for microfilm image cards and
tabulating cards are contained in this document, a completed DD Form 1423, a
completed DD Form 2554, and the issue in effect of MIL-M-9868 and MIL-M-38761.
3.1.1 Contract number. The number of the government contract under which
data is prepared or revised shall appear on every page of the documents. The
number of the government contract under which copies of data are furnished shall
appear on each page of the data delivered to the government. If copies are
furnished under the same contract as that under which the data was prepared, the
one entry of the contract number on the document will suffice. The contract
number should be added to paper copies by rubber stamping after reproduction or
by other means. On photocopies, the contract number should be added by means of
an overlay at the time of photographing.
3.1.2
Distribution and export control statement. When the DD Form 1423
of the contract specifies that a distribution and export control statement are
required, they shall be affixed to the first page of each document supplied to
the Government during microfilming by means of an overlay. Detailed guidance for
adding the distribution and export control statements are addressed in
MIL-STD-1806.
3.2
Microfilm.
3.2.1
Type and class. Microfilm image cards shall be supplied for each
drawing, associated list, and referenced document ordered under the contract.
The microfilm set ordered as the repository master shall be Type I, Class I
silver halide microfilm, negative type, clear line image in accordance with
MIL-M-9868. A microfilm index shall be provided in the form of a microfilm frame
deck as specified in 3.3.5. When additional sets of the documents are requested,
they shall be supplied on Type II, Class II diazo image cards.
3.2.2
Multiple sources. Data from more than one source may be included
in a submittal. The data from each source shall be sorted by Commercial and
Government Entity (CAGE) code listed in H4/H8 and separated by a target frame
supplied by the contractor who micro-filmed the data. The DD Form 250 shall
identify the items covered by the data, the name and address of the contractor
who developed the data, and the contract or purchase order under which the data
was furnished.
Book form drawings and documents. The one sheet per frame format

described in MIL-M-9868 shall apply to the microfilming of book form drawings and
documents having page sizes of 8 x 10-1/2 inches or 8-1/2 x 11 inches. All
documents shall be photographed so that data is in an upright position, right
reading regardless of the position of the format. A reduction ratio of 16X shall
be used.
3.2.4
Multiple sheet documents. Multiple sheet (or page) drawings or
documents shall be microfilmed in consecutive sheet sequence. After the initial
